2.5(11)       Records Management Policies Uniform Filing System

Policy Statement
The policies governing records management at the University are contained in two documents: the ISU record retention schedule and the uniform filing system.

The record retention schedule is a comprehensive listing of University records, together with entries designating the office or organization responsible for the retention of permanent records, the official custodian, the policy for release, and the retention policy for the holders of the permanent and the nonpermanent record.

The uniform filing system is, as the name suggests, a system of filing University records. Although it is basically uniform, the uniform filing system is adaptable to most University offices. Because few offices will have all classifications of files, office holders should use only those parts of the filing system which apply to their records.

Both documents are too extensive to include in the University Policy Manual, but copies of the retention schedule and the filing system can be obtained by calling the provost's office.

Reason for the policy:
To assure compliance with state law, legal requirements or expectations, and/or university guidelines for the retention of all ISU records and documents.
